Description and Requirements

General Description:  The Receptionist attends to visitors and deals with inquires on the phone and face to face. The Receptionist supplies information regarding the organization to the general public, clients and customers while supporting daily business operational needs. 

Responsibilities:

  • Answer telephone, screen and direct calls.
  • Provide information to callers.
  • Greet persons entering organization.
  • Direct persons to correct destination.
  • Deal with queries from the public and customers.
  • Monitor visitor access and maintain security awareness.
  • Provide general administrative and clerical support.
  • Prepare correspondence and documents.
  • Manage mail and deliveries including but not limited to, creating shipment labels, setting up packaging and sorting through received mail. 
  • Assist in Conference Room Scheduling; resolves schedule conflicts.
  • Assist in Coordinating meetings and organize catering.
  • Provide support in office related areas.
  • Control inventory relevant to reception area.
  • Tidy and maintain the reception area.
  • Assist Office Manager and HR with new hire onboarding tasks, including but not limited to setting up office badge, creating desk name tag, and ordering essential desk equipment. 
  • Manage and update telephone list, client list, and related mailing lists. 
  • Provide support to fulfillment projects by assisting with printing, stuffing, binding and outbound mailing tasks. 
  • Assists with special projects as needed.

Knowledge, Skills and Abilities:

  • High school diploma in any field from an accredited institution.
  • Degree in any field from a certified college.
  • Knowledge of clerical and administrative procedures.
  • Knowledge of consumer service practices and principles.
  • Strong keyboard skills.
  • Good communication skills and professional personal presentation.
  • Ability to manage information of employees.
  • Organizing, planning, and customer service orientation
  • Great attention to detail and stress tolerance.
  • Should be honest, respectful, and trustworthy.
  • Should be flexible and possess cultural awareness.

Salary Range is $40,000 - $45,000, plus potential compensation incentives.
