Operations Coordinator

Apply nowGeneral Description: Maintain clerical, administrative and operations tasks for the Investment Advisory Department. Support Plan Consultants with client onboarding and retention.
Responsibilities:
- Produce quarterly investment reviews for Defined Contribution (DC) and Defined Benefit (DB) clients.
- Schedule and participate in investment review meetings for clients with Investment Consultants. Document, execute and confirm investment committee decisions. Includes fund changes, plan provision changes, and employee education meetings.
- Assist with establishment of new client relationships. Deliver service agreements and new account applications. Complete conversion of assigned new business. Schedule transition meetings, conference calls and follow-up meetings.
- Act as the liaison between the service provider and client. Execute the deliverables outlined in the Annual Client Service Calendar.
- Complete monthly participant updates.
- Assist administrative team in completing Advisory Billing.
- Process and record mutual fund trading.
- Maintain complete and accurate list of clients. Includes contact information for all DC and DB clients.
- Coordinate new business paperwork. Includes advisory contracts, trust, and brokerage documentation.
- Assist leadership with compliance documents and registration updates.
- Complete Annual Disclosure mailing and maintain accurate records.
- Review Defined Benefit client accounts weekly for contributions and cash positions.
- File hardcopy and computer documents appropriately. Includes filing of monthly/quarterly client statements.
- Provide sales support as needed.
Knowledge, Skills and Abilities:
- Associates degree or equivalent work experience in retirement or brokerage industry. Bachelor’s degree preferred.
- Experience with investment related software preferred.
- Detail oriented. Strong organizational skills and ability to multi-task.
- Strong client management and presentation skills.
- Working knowledge of Microsoft Office suite, including Excel, Power Point, and Word.
- Ability to work independently and with a team in a fast-paced environment.
- Strong oral, written and interpersonal communication skills.
