General Description: The Administrative Assistant performs administrative and office support activities to a department or managers below the executive level. Duties include fielding telephone calls, receiving and directing visitors, word processing, coordinating site visits, ordering office supplies, and record keeping.

Responsibilities:

  • Provides secretarial/administrative support to incumbents at the Executive level.
  • Prepares correspondence, reports, presentations, agendas, minutes, etc.
  • Receives screens and directs incoming calls, visitors, mail and email while exercising discretion in managing the confidential and sensitive nature of communications associated the senior executive's activities.
  • Maintains files, records and calendars, typically arranges business travel, coordinates meeting arrangements and tracks expenses.
  • As requested, coordinates communication from executive to staff, customers, vendors, carriers and the general public.
  • Coordinate company functions, plans and prepare for company meetings, conference calls including offsite meetings or events.
  • Handle special projects as they arise and provide support in preparation of documents, meeting materials and conduct basic analysis as appropriate.
  • Other duties as assigned. 

Knowledge, Skills and Abilities:

  • Must have experience with administrative and office management. Insurance industry experience is preferred.
  • College degree preferred.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Knowledge of clerical and administrative procedures, as well as consumer service practices and principles.
  • Good communication skills and professional personal presentation.
  • Organizing, planning, and customer service orientation
  • Detail oriented with the ability to organize effectively.
  • Should be honest, respectful, and trustworthy.
  • Ability to work under pressure and meet deadlines.
