General Description: Responsible for assisting with processing payroll for over 10,000 employees. Includes collection, entering, and coordination of payroll data. Participate in mentoring and process improvement.
Responsibilities:
- Ensure that payroll is processed timely and aligns with payroll procedures.
- Process manual check requests in accordance with federal, state, and local requirements.
- Input, verify, and research records relating to leave of absences.
- Assist with various entries relating to prior quarter/year adjustments. Includes W2 and 941.
- Run time and attendance reports for upload into company’s third-party payroll system.
- Assist employees, managers, and HR with questions and issues. Includes pay discrepancies, pay practices, processes, procedures, and payroll-related benefit questions.
- Create and review reports weekly to ensure accurate information.
- Process and import salary continuation payments, commissions, other supplemental earnings, and deductions.
- Run reports to ensure employees are paid accurately. Includes custom business intelligence reports.
- Request stop payments/direct deposit reversals, as necessary.
- Verify payroll output. Document and file all appropriate back-up materials.
- Run payroll tax reconciliation reporting on a bi-weekly basis.
- Input updated state unemployment (SUI) rates in payroll system.
- Assist Senior Payroll Tax Analyst in the registration of withholdings, unemployment, third-party access, and power of attorneys with state and local agencies.
- Comply with Sarbanes-Oxley (SOX) practices. Provide documentation for all items entered when requested for audit purposes.
- Conduct research of complex issues and participate in special projects as assigned.
- Make recommendations to the Payroll Supervisor and Manager for process improvements.
- Assist Payroll Supervisor with mentoring of payroll team members as needed.
Knowledge, Skills and Abilities:
- Must have familiarity with multistate payroll tax and regulations.
- Working knowledge of local tax and employee level tax corrections.
- Experience processing garnishments and/or other tax items.
- Certified Payroll Professional designation preferred.
- Ability to work effectively in a highly matrixed organization with shifting priorities.
- Ability to respond to common payroll inquiries from employees, management, and HR.
- Experience with Microsoft Office suite, including Word, Outlook, and Excel.
- Experience with UKG/UTM payroll system preferred.
- Able to work independently with minimal supervision.
- Excellent customer service, communication, time management, and organizational skills.
- Strong analytical and problem-solving skills.
- Ability to handle confidential and sensitive information and situations with discretion.
- Overtime may be required to fulfill the requirements of this position.
Physical Demands:
Work is performed in a climate-controlled office environment with minimal noise and limited to no exposure to chemicals or toxins. Employees operate office equipment including telephone - headset, computer, computer monitors, keyboard, mouse, copier, scanner, and mail machine. Physical tasks of job include walking, sitting, standing, bending, and typing.
Analysis of Physical Demands:
· Constantly (over 66% of time) work performed requires employees to use repetitive hand motions such as typing, using a keyboard, and sitting at a desk.
· Frequently (34%-66% of time) work performed requires employees to handle and grasp things, walk on normal surfaces, stand, and bend.
· Occasionally (1%-33% of time) work performed requires repetitive foot movements, walk on uneven or slippery surfaces to and from work and occasionally reach outward to grab things and bend.
· Rarely (< than 1 hour per week) work performed requires lifting/carrying items that range from 10-50lbs, pushing/pulling items that range from 10-50lbs, twisting/turning including reaching over shoulder or above head, kneeling or squatting.
