Description:  The Production/Administrative Assistant is responsible for maintaining production and administrative support to all practice areas.  Production is responsible for operating equipment, preparing client and participant communication for distribution, ensures all machinery runs smoothly and assists in the packaging and shipment of items. The ideal candidate will have some mechanical experience, excellent communication skills, a high degree of attention to detail, self-starter, team player and can work in a fast pace situation with tight deadlines.     

  • Assist Director of Administrative Services with administrative support duties as requested.
  • Process all print and copy requests for all of USICG.
  • Print and bind reports.
  • Fulfillment of ALL mailings for all USICG.  When necessary hand stuffing may be required.
  • Monitor and maintain office and coffee supplies under the direction and approval of the Director of Administrative Services.
  • Maintain par level of office supplies in all print/production rooms.
  • Maintain coffee supplies in all kitchens.  
  • Maintain printer and paper supplies.
  • Troubleshoot printer/equipment issues; call in a tech when necessary.
  • Handle all outgoing mail.  
  • Provide backup administrative responsibilities
    • Cross Train in Receptionist/Clerical support to step in when needed.
    • Welcome guests and announce their arrival. 
    • Maintain daily visitor log.
    • Answer/process/distribute incoming calls. 
    • Handle messages from company answering machine.
    • Maintain company answering machine.
    • Sort and distribute incoming mail.
    • Log all incoming FedEx and UPS packages.
    • Meter outgoing first class mail and maintain daily log.
    • Prepare outgoing pre-sort mail and maintain daily log.
    • Process all outgoing FedEx and UPS requests; from package preparation to label creation.  

Knowledge, Skills and Abilities:
  • High School Diploma Required
  • Print shop experience preferred. 
  • Candidate must have excellent communication skills, both written and verbal. 
  • Close attention to detail.
  • Follow protocols and procedures. 
  • Working knowledge of Microsoft Outlook, Word, and Excel.
  • Accurate keyboard skills and proven ability to enter data
