General Description:  The Content Manager, Sales & Marketing, is a critical part of our national team. This individual will act as owner, manager, and administrator of USI’s RFP content libraries across multiple lines of business and regions. 

USI has approximately 20 regional RFP Specialists in 10 regions who help create RFP proposals for the local offices in their regions utilizing a centralized proposal management software. Additionally, USI has a companywide RFP content library available for all team members. The National Content Manager, Sales & Marketing will oversee and manage both platforms from a content and administration perspective. The National Content Manager should thrive in a fast-paced, deadline driven environment working with a wide range of corporate and field executives.

Responsibilities include but are not limited to:

  • Content management owner
    • Oversee national RFP response content libraries (including Qvidian database and USI’s proprietary in-house content library) 
    • Refine existing content from subject matter experts (SMEs), add new content, and update/maintain existing content within USI’s databases in accordance with USI brand standards
    • Collaborate with National Practices, Regional Leaders, Marketing, Legal, Compliance, HR, Finance, etc. to improve current content and generate new content
    • Assist with editing content for consistency of voice, spelling, and general USI branding
    • Establishing content management processes to incorporate new responses or edits to Qvidian
    • Regularly check for “expiring” content to update or submit for review
    • Handle “Feedback” requests from Qvidian users
    • Create and manage completed RFP repository
  • Administrator for RFP Proposal Software (Qvidian) and USI’s proprietary in-house content library (via SharePoint)
    • Qvidian platform administration:
      • Architecture – Back-end maintenance including maintaining style template(s), document types/structure, merge codes
      • Library organization and updates – including Q&A content, record metadata
      • User administration (adding/removing users)
      • Training of new team members (training topics include dashboard set up, library usage, building RFP responses/projects)
      • Troubleshooting (working with Upland Qvidian support as needed)
    • USI in-house SharePoint library administration:
      • Content organization and maintenance
      • Main point of contact for user queries
      • Develop processes and tools to increase associate engagement with content library
  • Liaison for regional RFP specialists
    • Lead regular RFP calls for extended national RFP team
    • Regular contact with specialists to convey timely content and resources updates
    • Connect specialists to latest content and/or subject matter experts (SMEs), as needed
    • Collect new content from regions to add to library
    • Manage team collaboration intranet page (SharePoint) and help increase team engagement in national processes
  • Provide national RFP analytics to senior management
    • Gather metrics of finalist and business wins for corporate team and create management reports
    • Oversee RFP requests/tracking log across regions
    • Work with corporate leaders and RFP specialists to collect appropriate information via intake form
    • Identify and build processes and best practices to capture RFP statistics and success stories
  • Act as backup/floater to regional specialists on an as-needed basis
    • Occasionally assist extended RFP team with setting up RFP projects in Qvidian and creating basic proposals utilizing library content 


Knowledge, Skills and Abilities:

  • 3 – 5 years of experience working in a proposal writer/manager position
  • APMP certification highly preferred, Foundation level
  • Property and Casualty and Employee Benefits Insurance experience a plus
  • Proficiency in Microsoft Office applications – will be working with MS Word extensively (must know advanced features including setting up and modifying Word styles)
  • Qvidian/Upland Proposal Management Software experience preferred
  • Ability to learn quickly and show flexibility to adapt in a growing group, working both independently and with a team mentality 
  • Demonstrates good judgement in selecting methods and techniques for obtaining solutions
  • Use critical thinking to contribute to team projects and improve processes
  • Demonstrated success supporting sales and/or branding and communications initiatives 
  • Organized self-starter with a positive attitude that can juggle multiple priorities with firm deadlines 
  • Excellent project-management skills with ability to analyze and deliver metrics on-time and error-free 
  • Strong communication, writing and editing skills 
  • Comfort engaging all levels of firm management
