Description and Requirements
General Description: The Paralegal provides technical and compliance support to the consultative legal team. The main focus is accurate and efficient processing of ERISA-related legal matters. This role includes handling processing needs, managing professional correspondence, and preparing documentation. The Paralegal helps ensure smooth legal administration of retirement benefits.
Responsibilities:
· Draft various plan documents and agreements for Defined Contribution and Defined Benefit Plans including but not limited to:
- New and restated plans
- Trust agreements
- Plan amendments: board of directors’ resolutions, qualified domestic relations order (QDRO) procedures, and participant loan program documents as applicable.
- Summary plan descriptions and other material modifications.
· Assist in the review and processing of Qualified Domestic Relations Orders (QDRO) and Powers of Attorney (POA).
· Support the preparation and coordination of general notice mailings to clients. Inform clients about the potential impact of new legal developments on plans.
· Help provide important updates to internal departments about legal processing needs for QDROs, POAs, and other ERISA matters that may impact clients’ plans.
· Answer incoming phone calls from participants, attorneys, and internal teams, providing clear and concise information regarding QDROs, and ERISA-related inquiries.
· Communicate directions to trustees, recordkeepers, and other fiduciaries regarding actions required by court orders and legal processes.
· Proactively manage and track timelines and deadlines related to processing needs and other ERISA-related legal matters.
· Provide general administrative support to the legal team as needed. Includes scheduling, data entry, and file management.
· Continuously learn and maintain knowledge of various retirement plan types, such as 401(k), 403(b), and pension plans. Maintain understanding of their legal frameworks, especially ERISA.
· Stay updated on relevant legal developments and regulations impacting ERISA, QDROs, and retirement plans.
Knowledge, Skills and Responsibilities:
· 0-3 years of experience as a paralegal, with specific experience in retirement plans, ERISA, or family law highly preferred.
· Associate degree or bachelor’s degree in paralegal studies, legal studies, or a related field preferred.
· Paralegal certificate from an ABA-approved program highly preferred.
· Proven experience processing QDROs and other ERISA-related legal documents is a significant plus.
· Understanding of legal terminology, court orders, and legal procedures.
· Excellent written and verbal communication skills, with the ability to articulate complex legal information clearly and professionally.
· Organizational skills and attention to detail.
· Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
· Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
· Demonstrated ability to maintain confidentiality and exercise discretion.
· Ability to work independently and collaboratively as part of a team.
Work is conducted in an on-site, remote, or hybrid environment that is conducive to performing the essential functions of the job. The role routinely involves the use of standard office equipment, including computers, keyboards, printers, and video conferencing tools. The employee may attend in-person meetings, including those with clients or team members.
Physical Requirements:
While performing the duties of this job, the employee is required to:
· Sit for extended periods while working at a computer or attending virtual meetings.
· Operate office equipment and use repetitive hand motions, such as typing.
· Communicate clearly via phone, video conferencing tools, email, and in person.
· Occasional movement around the office to attend meetings, interact with team members, or access shared office resources (e.g. printers, supplies). Includes standing, walking, bending, kneeling, squatting and/or reaching.
· Infrequently, lifting or carrying items that range from 10-50lbs may be required.
