General Description: The Executive Assistant performs administrative and office support activities to executive level leaders. Duties include managing calendars, coordinating travel and expenses, preparing presentations and meeting materials, managing events, etc.
Responsibilities:
- Provides administrative support to incumbents at the Executive level.
- Prepares correspondence, such as writing and editing e-mails, drafting memos, and preparing communications on behalf of executives.
- Prepares reports, presentations, agendas, etc.
- Maintains comprehensive and accurate records.
- Manages executives calendars, including making appointments and prioritizing the most sensitive matters.
- Manages travel arrangements and tracks expenses.
- As requested, coordinates communication from executive to staff, customers, vendors, carriers and the general public.
- Coordinates company functions and meetings, plans and prepares for events/meetings including scheduling, sending reminders, coordination with venues and organizing catering as needed.
- Handles special projects as they arise and provides support in preparation of documents and meeting materials.
- Receives screens and directs incoming calls, visitors, mail and email while exercising discretion in managing the confidential and sensitive nature of communications associated with the senior executive's activities.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Must have experience with administrative support of multiple executive leaders.
- Office management experience preferred.
- College degree preferred.
- Must be highly skilled in Microsoft Products including: Word, Excel, and PowerPoint.
- Strong communication skills and professional personal presentation.
- Proactivity and self-direction
- Organizing, planning, and customer service orientation.
- Detail oriented with the ability to organize effectively.
- Should be honest, respectful, and trustworthy.
- Ability to work under pressure, multitask and meet deadlines.
