General Description:

This position provides administrative support mainly to the Account Management team but will also support the rest of the DCC team at some level. The Account Coordinator is expected to consistently provide excellent customer service to clients and other CG departments and must work efficiently as part of a team in a fast paced environment. He/she is expected to multi-task with proficiency using several different software applications, possess strong communication skills, cultivate project management skills, and follow instructions to help address the needs of clients and their internal team members.


Under the direction of the account manager, the account coordinator will oversee and monitor the completion of project tasks for clients, including but not limited to:

  • Fund changes, preparation and distribution of annual participant notices from service providers, USI Paperwork (IAS and/or Securities), provider Set-up Paperwork
  • Help scheduling meetings
  • Take meeting notes and document all project related tasks and follow ups
  • Monitor that all meeting follow ups by the team, other CG departments and service providers and completed
  • Participate in client meetings and conversion calls by phone or in person as necessary with the
  • Prepare client reports, presentations, agendas, etc.
  • Acting as a liaison between internal teams. These include providers, IAS Team, and Administration
  • Ensuring investment review reports and other deliverables have been completed and delivered to clients by IAS or by other CG departments
  • Improve project administration processes by identifying inefficiencies and recommending solutions to the account manager and director of operations
  • Assist in the development and maintain relationships with clients and providers

The account coordinator will also assist with the following duties:

  • Work with Executives on commission run projections, monthly client billing and revenue estimations
  • Follow directions towards prioritizing deliverables and support responsibilities, using "reasonableness checks" for quantitative work, and sound judgment for all client and service provider interactions
  • Assist with special projects; these may include database management under direction of USICG executives
  • Work towards understanding of retirement plan document restatements, amendments, summary plan descriptions, controlled groups of corporations, 401(k) and 403(b) plans, IRS non-discrimination testing and minimum coverage, Form 5500, service contracts, ERISA concepts, fiduciary responsibilities, etc.
  • Learn to create and automate adjustments to spreadsheets analyzing cost savings achieved for clients, estimated plan expense summaries, IRS nondiscrimination testing, employer contribution calculations, "true-ups" for matching contributions, ratio percentage test, projections for growth of plan assets
  • Assist with the establishment of new client relationships & related paperwork
  • Review fee disclosure statements, learn about various service provider platforms, perform calculations of weighted average expense ratio and understand interplay of "required revenue" and revenue sharing
  • Expected to understand behavioral finance concepts and automatic enrollment plan designs
  • Expected to become familiar with ERISA, IRS code terminology and compliance requirements
  • Photocopying and general administrative support for the team.

Knowledge, Skills and Abilities:

  • Bachelor's Degree with proven strength or experience in Mathematics, Economics, Finance, Accounting, Business Administration and/or Marketing
  • Strong writing, verbal and phone skills, professional demeanor
  • Series 6, 63, 65, and 7 or equivalent may be supported depending on performance and career track
  • Proven aptitude and work ethic and/or up to two/three years related business experience
  • Attention to details and good organizational skills
  • Good communication and interpersonal skills
  • Enthusiastic attitude, cooperative team player, adaptable to new or changing circumstances, professional demeanor, sensitive to client needs, self-motivated, creative and innovative.
  • Ability to carry out multiple tasks with both concrete and abstract variables.
  • Must be comfortable with internet based programs as well as advanced or at least proficient in Excel, and other Microsoft programs.
