Description and Requirements

General Description: Responsible for performing clerical tasks and providing administrative support to the Corporate Accounting Center. Maintain the front desk and answer the general phone line. Manage mail pick up and distribution.

Responsibilities:

·         Provide administrative support to ensure efficient operation of the Corporate Accounting Center.

·         Greet all visitors with warmth and professionalism.

·         Answer busy multi-line phone. Screen and forward incoming calls to appropriate staff members.

·         Manage incoming and outgoing mail. Includes picking up, dropping off, sorting, processing, and distributing incoming mail. Also process and drop off outgoing mail.

·         Assist with building maintenance and coordinating contact with property management company and outside contractors. 

·         Manage inventory of office supplies. Includes ordering, unpacking, and organizing as needed.

·         Stock and maintain the breakroom area and necessary supplies.

·         Provide support to the cash receipts department. Includes reviewing and sorting mail between regions to distribute to the various Accounting Center departments.

Knowledge, Skills and Abilities:

  • 3+ years of experience as a receptionist, administrative assistant, or similar role.
  • Hands-on experience with office equipment. Includes printers, fax, and postage machines.
  • Experience with multi-line phone system.

·         Strong verbal and written communication skills. Ability to communicate confidently and professionally across all employee levels.

·         Ability to work independently in a fast-paced and high-volume environment.

  • Proficiency in Microsoft Office products, including Excel required.
  • Strong work ethic with a defined sense of urgency.
  • Strong attention to detail and retention of pertinent information.
