General Description:  The Corp Administrative Assistant is responsible for maintaining the front desk and answering the general phone line, as well as managing pick up and distribution of all accounting center mail, and other administrative and clerical tasks. 

Responsibilities:

·         Greet all visitors with warmth and professionalism.

·         Answer busy multi-line phone, screen and forward incoming calls to the appropriate staff members.

·         Pick up and distribution of incoming mail, as well as processing and dropping off outgoing mail.

·         Assist with building maintenance and coordinating contact with property management company and outside contractors. 

·         Validate and code purchasing card transactions through AMEX online CAR site.

·         Inventories, orders and maintains office supplies as needed.

·         Stocks and maintains the breakroom area.

·         Provide support to the cash receipts department to include reviewing and sorting mail between regions to distribute to the various accounting centers.

·         Provide support to the accounts payable department including the vendor set up process and FATCA database updates. 

Knowledge, Skills and Abilities:

  • Minimum 3 years work experience as a receptionist, administrative assistant or similar role
  • Hands-on experience with office equipment (ie: printers, fax and postage machines)
  • Experience with multi-line phone system

·         Strong verbal and written communication skills — ability to communicate confidently and professionally across all employee levels

·         Ability to work independently in a fast-paced and high-volume environment

  • MS Office and Excel proficiency required
  • Strong work ethic with a defined sense of urgency
  • Strong attention to detail and retention of pertinent information
